How Do I Create and Share Recruiting Email Templates?

Describes how to create email templates for personal use and share them with other users.

Overview

In Recruiting, you can create email templates for common emails you send repeatedly. These templates can save you time and make it easier to send consistent messages. Here are some examples of the types of emails you can create templates for:

  • Phone screen requests
  • Feedback requests
  • Interview confirmations
  • Request a writing sample
  • Request references
  • Directions to the office

Pro Tip: Use Auto-Fill Tokens

  • Auto-Fill Tokens are placeholders that can be added to any template.
  • These help you customize each template and each email that is sent.
  • Copy and paste a token into the message (template), and Recruiting automatically inserts the information into every email.

How Do I Create and Share a Personal Email Template?

  1. In Recruiting, on your Personal Settings screen, click the Gear icon at the top right, then click the Message Settings tab. 
  2. Click the My Templates tab. A list of template categories appears.
  3. Select an appropriate category and click Create a New Template
  4. In the screen on the right, create the template and then click Save
    1. Note: If you have already set up your signature in Recruiting, do not add it to the template. Your signature will be automatically included on every template.
  5. At the top of the template screen, click Share this Template so others can use it too.

How Do I Create and Share Default New User Email Templates (All Users)?

The default new user email templates are the templates that all new users receive.

To create these email templates, follow these steps to modify your Default Templates:

  1. In Recruiting, click Admin, click Message Templates, and then select New User Templates.
  2. Click Create a New Template.
  3. In the screen on the right, create the template and then click Save
