Use Bulk Actions to assign multiple users to jobs

Learn how to quickly add users to jobs, replace them, or change their roles using bulk actions.

Benefits of using Bulk Actions

Bulk Actions help you make changes fast. You can update many jobs at the same time.

You can:

  • Assign a user to many jobs at once. This saves time and work.
  • Replace a user on many jobs. You can see all the jobs a user is on and swap them with someone else.
  • Change a user’s role on jobs.For example, you can move a user from Team Member to Hiring Manager on all their jobs at one time.

Use Bulk Actions to assign users to jobs

  1. Go to Hiring > Applicant Tracking.
  2. At the top, select Admin, then choose Users
  3. Find and select the user you want to update, then select the Jobs tab. You see a list of jobs this user is assigned to.
  4. Select Bulk Actions to start making changes to your user’s job assignments. You can choose from 3 options:
    1. Assign to Jobs
    2. Replace with Another User on Jobs
    3. Modify Roles on Jobs

Use the Assign to Jobs bulk action

The Assign to Jobs bulk action lets you add the user to more jobs.

  1. Select Assign to Jobs, then select Next to open the Select Jobs screen.
  2. Select the checkboxes next to the jobs you want. Then select Next to open the Select Role screen.
    1. Only your Active jobs are displayed by default. 
    2. You can modify the job status and use the filters to identify other jobs.
    3. If the user is already assigned to a job, their current role is displayed in the Current Role column (e.g., Hiring Manager). 
    4. You cannot select jobs the user is already assigned.Shows the employee list
  3. Select the role for the user, then select Next to open the Confirm screen.
    1. You can only select one role on this screen (e.g., Hiring Manager).
    2. The Recruiter role is only available if the user is an Admin or Staffing User.Shows the select a role screen
  4. Add a comment if needed, then select Save.
    1. Your comment shows in the Job Newsfeed for each job.Shows the comments field

Use the Replace with Another User on Jobs bulk action

This bulk action removes the current user from jobs and adds another user to those jobs in their place.

  1. Select Replace with Another User on Jobs, then select Next to open the Replace With screen.Shows the select action screen
  2. Select a replacement user, then select Next to open the Select Jobs screen.
    1. You can only select one replacement user.
    2. Use the search tools on this screen to find the user the list is long.Shows the list of employees
  3. Select the checkboxes next to the jobs you would want to replace the user on, then select Next to open the Confirm screen.
    1. Only Active jobs the user is assigned to are displayed. 
    2. You can change filters to find other jobs.Shows the select jobs screen
  4. Add a comment, then select Save.
    1. Your comment shows in the Job Newsfeed or each job.

Use the Modify Roles on Jobs bulk action

This bulk action allows you to update a user's role on the jobs they are already assigned to (e.g., from Team Member to Hiring Manager).

  1. Select Modify Role on Jobs, then select Next to open the Select Jobs screen.Shows the Select an action screen
  2. Select the checkboxes next to the jobs you would like to update the role on, then select Next to proceed to the Select Role screen.
    1. Only the Active jobs the user is assigned to are displayed. 
    2. You can change the filters to find more jobs.Shows the select jobs screen
  3. Select the new role for this user, then select Next to open the Confirm screen.
    1. You can choose only one role on this screen (e.g., Hiring Manager). The user is assigned to that role on each job you selected when you complete the bulk action.
    2. The Recruiter role is only available if the selected user is an Admin or Staffing User.Shows the bulk actions screen for roles
  4. Add a comment, then select Save
    1. Your comment shows in the Job Newsfeed or each job.
