Remove a closed or filled job from your Recruiting dashboard

Describes h​​​ow to remove a job and notify candidates after it has been closed or filled.

This article is for administrators.

 

Overview 

Use this process to close or fill a job in Recruiting. This removes the position from your Home Dashboard, as well as your careers page, and helps you notify the remaining candidates. 

  • Closed: Use when no one is hired for the job. 
  • Filled: Use when a candidate is hired. 

If you only want to remove the job from your website without removing it from the active Home Dashboard, refer to Stop accepting resumes for an active job posting (pause a job)

If you need to reopen a job later, refer to Reopen a closed or filled job

Step 1: Change the job status to closed or filled

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. From your Home page, select the job title to open the job you want to update. 
  3. Select the Info icon next to the job title to open the Job Info window. 
  4. In the pop-up window, change the job status to Closed or Filled
  • Closed: Use when no candidate is hired. 
  • Filled: Use when a candidate is hired.

  1. If the job is publicly posted, a warning message appears. Review and select OKA screenshot of a computer screen

  2. Select Save. After you change the status, if you want to notify the remaining candidates. Continue to Step 2 to inactivate remaining candidates.
 
 

Step 2: Bulk inactivate remaining candidates

  1. After you update the job status, review the alert banner asking if you want to inactivate remaining candidates. Select clicking here

  2. Follow the on-screen instructions Select All on this Page and select the button to change the status to inactivate candidates.

  3. After inactivation, these candidates move to the Pending Thank You section on the Home Dashboard. Proceed to Step 3 to send Thank You/Rejection letters in bulk.  
 
 

Step 3: Send bulk thank-you letters

  1. On the Home Dashboard, locate the Pending Thank You Letters section.

  2. Select the checkbox next to each candidate you want to notify. 
  3. Select Send to deliver the thank you letters.

Troubleshooting 

I do not see the alert bar to inactivate candidates.

  • Confirm the job status is set to Closed or Filled. Refresh the page and reopen the job. 

Candidates do not appear on the Pending Thank You Letters page

  • Make sure the Pending Thank You Letters Filter is set to All Time and All Candidate Types.
