Overview
Sometimes you need to post a job without making it visible to most users. A confidential job limits who can view the job and candidate details.
Only the following users can see confidential jobs and their candidates:
- Any Staffing User assigned as a Recruiter
- Any user assigned as a Hiring Manager
- Any Standard User assigned as an Executive or Team Member
- All Administrators (default user right)
All other users cannot see confidential jobs or their candidates.
Important:
- For security reasons, candidates submitted to confidential jobs are hidden from unauthorized users and do not appear in searches.
- When a job no longer needs to be confidential, it’s best to remove the setting so other users can find the candidates.
- Confidential jobs do not appear in Analytics reports. See Gather reporting for a confidential job for an alternative reporting option.
- Candidates cannot apply directly to a confidential job because there is no secure way to accept applications through a public job post.
Make a job confidential
- Go to People > Hiring > Applicant Tracking to open the Recruiting platform.
- Find the job you want to make confidential and select the job title. The job details screen opens.

Next to the job title, select the blue More Info icon. The job information window opens.

On the Job Info tab, select the Confidential Job checkbox. A notification displays.

Review the notification and select OK. The notification closes.

Select Save. The job now shows CONFIDENTIAL on the Recruiting dashboard.
Ways to advertise a confidential job
- After a confidential job is created in Recruiting, you can post the job separately on external job sites such as Indeed.
- Candidates received from external postings do not flow into Recruiting because they are not directed to your careers page to apply.
- As you receive candidates from Indeed or other sources, use Create a Candidate to add the candidate and assign them to the confidential job.
Gather reporting for a confidential job
Confidential jobs do not appear in Analytics reports.
Use the export option within the job to gather reporting data.
- Go to People > Hiring > Applicant Tracking to open the Recruiting platform.
- Select the job title for the confidential job. The job details screen displays.

In the top-right corner, select Export This Flow Log.
- Select the download icon in your browser to download the Excel file.

- The export includes candidate and job data available at the time you download the file.

The Excel file shows the applicant flow log with rows of candidate information and job details.
