Recruiting: Bulk Actions - Assign Users to Jobs in Bulk

How to assign users to jobs in bulk.

You can now assign your users to jobs by leveraging our bulk actions in Recruiting. These tools allow Admins to modify user job assignments much quicker than previously possible in the system. 

How does it help?

  • Quickly Assign Users to Jobs: Previously you had to go to each relevant job record and assign your users to the job. That process has been streamlined so that you can complete these actions for a user on all of your relevant jobs at once.
  • Easily Replace a User on Jobs: You can quickly identify the jobs a user is currently assigned to and replace them with another user on all of those jobs at once.
  • Modify a User's Role on Jobs: This allows you to quickly move a user from one role (e.g. Team Member) to another (e.g., Hiring Manager) on all of their assigned jobs.

Who can use this feature?
Admins on your company account can assign users to jobs in bulk.

Usage Guide
To get started, navigate to the Users tab under your Admin settings. Here you can select the specific user you would like to update job assignments for and click the Jobs tab. You see the list of jobs that your user is currently assigned to. You can click on the Bulk Actions button to begin making updates to your user's job assignments.

Three options are available to you:

  1. Assign to JobsReplace with Another User on Jobs
  2. Modify Roles on Jobs
  3. Assign to Jobs

The Assign to Jobs bulk action allows you to assign the selected user to additional jobs in the system.

  1. Select Assign to Jobs, then click NEXT to proceed to the Select Jobs screen.
  2. Select the check box next to the jobs you would like to replace the user on, then click NEXT to proceed to the Select Role screen.
    • Only your Active jobs are displayed by default. You can modify the job status and use the additional search criteria tools on this screen to identify the appropriate jobs.
    • If the user is assigned to a job already, the user's current role is displayed in the Current Role column (e.g., Hiring Manager). You are not able to select the check box next to a job the user is already assigned to in Recruiting for this particular bulk action.
  3. Select the appropriate role for this user, then click NEXT to proceed to the Confirm screen.
    • You are only be able to select one role on this screen (e.g., Hiring Manager). The user is assigned to to that role on each of the jobs you selected when you complete the bulk action.
    • The Recruiter role is only available if the selected user is configured as an Admin or Staffing User already.
  4. Optionally add a comment, then click SAVE to complete the bulk action.
    • If you do add a comment, it is added to the Job Newsfeed for each of the selected jobs.

Replace with Another User on Jobs
The Replace with Another User on Jobs bulk action allows you to simultaneously remove the current user from a series of jobs and assign another user to the jobs in their place.

  1. Select Replace with Another User on Jobs, then click NEXT to proceed to the Replace With screen.
  2. Select a replacement user, then click NEXT to proceed to the Select Jobs screen.
    • You can only select one replacement user on this screen. You are not be able to replace the assigned user with multiple users.
    • You can leverage the search functions on this screen to identify your desired replacement user if your organization has a high volume of users in the system.
  3. Select the check box next to the jobs you would like to replace the user on, then click NEXT to proceed to the Confirm screen.
    • Only the Active jobs the user is assigned to is displayed by default. You can modify the job status and use the additional search criteria tools on this screen to identify the appropriate jobs.
  4. Optionally add a comment, then click SAVE to complete the bulk action.
    • If you do add a comment, it is added to the Job Newsfeed for each of the selected jobs.

Modify Roles on Jobs
The Modify Roles on Jobs bulk action allows you to update the role of a user on the jobs they are already assigned to (e.g., Team Member to Hiring Manager).

  1. Select Modify Role on Jobs, then click NEXT to proceed to the Select Jobs screen.
  2. Select the check box next to the jobs you would like to replace the user on, then click NEXT to proceed to the Select Role screen.
    • Only the Active jobs the user is assigned to display by default. You can modify the job status and use the additional search criteria tools on this screen to identify the appropriate jobs.
  3. Select the appropriate role for this user, then click NEXT to proceed to the Confirm screen.
    • You areonly be able to select one role on this screen (e.g., Hiring Manager). The user is assigned to to that role on each of the jobs you selected when you complete the bulk action.
