Configure time zones in Recruiting

Describes how to update time zones in Recruiting at the Company and User (your account info) levels.

This article is for administrators.

 

Overview 

Recruiting uses time zones in two places. These settings control how times display in the system and how calendar invitations appear for interview meetings. 

This article explains where to set time zones and how meeting invitations adjust for each recipient. 

Set the company default time zone 

The company time zone sets the default time zone for new users. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. The Applicant Tracking link will navigate you to the Home Dashboard in your Applicant Tracking System.

  3. Select Admin > Company Settings
  4. Select Address, Time Zone
  5. In the Default Time Zone section, select a time zone from the drop-down. 
  6. Select Save

Note: When you create new users, they automatically receive the company default time zone. You can change a user’s time zone later if needed. 

Set a user time zone 

A user time zone controls how calendar invitations are sent for that user. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.  
  2. The Applicant Tracking link will navigate you to the Home Dashboard in your Applicant Tracking System.

  3. Select Admin > Users
  4. Select the User you wish to update. 
  5. In User Information, select a time zone from the drop-down. 
  6. Select Save

How calendar invitations handle time zones 

Recruiting sends interview invitations as .iCS files. Most calendar apps support this format, including Gmail, Outlook, Yahoo Mail, and Apple Mail. 

When someone receives an invitation, their calendar automatically adjusts the meeting time to match their own default time zone. 

This process helps all participants join the meeting at the correct local time. 

Example 

  • The sender schedules a meeting for 12:00 PM Pacific Time. 
  • The recipient uses Mountain Time. 
  • The recipient’s calendar shows the meeting at 1:00 PM Mountain Time. 

No manual time conversion is required.
