Change standard users to administrators or staffing users in Recruiting

Explains how administrators change a standard user to an administrator or staffing user, or the reverse.

Understand locked, inactive, and deleted users

Locked users
  • Locked users cannot log in. In every other way, they work like any other user.
  • You can add locked users to jobs.
  • Lock a user when you want to train them before they access Recruiting. For example, the Paycor support team locks new companies until training is complete.
Inactive users
  • Inactivating a user works like a soft delete. The user stays in Recruiting but does not appear in user lists.
  • For example, when you create a job and select a hiring manager, the list shows only locked and unlocked users.
  • To inactivate a user, first remove them from any active jobs.
  • Inactivating a user is almost always better than deleting them.
Deleted users
  • Deleting a user removes them from Recruiting.
  • You can still see comments they posted on jobs or candidates. However, when you open a job, you do not see them assigned to it anymore.
  • Deleted users do not show on reports.

Add more administrator or staffing users

Your company can have an unlimited number of standard users in Recruiting.

Administrator and staffing users are licensed through Recruiting. To add more administrator or staffing users, contact Recruiting Support.


Manage administrator and staffing user changes

When an administrator or staffing user leaves your company:

  1. Change the user's status to Inactive from the User Profile screen. For more information, refer to Inactivate or lock a candidate in Recruiting.
  2. Reassign the user to a standard user. This step frees up the administrator or staffing license so you can reassign it.Shows the User Status and Login screen

Change hiring managers

When a hiring manager is assigned to approve multiple positions, you must remove them from each position before you can inactivate them and free up the administrator or staffing license.

Note: When you change the current administrator user, you must update your approval managers.
