This is for administrators.
- Anyone can update their own set of communication templates.
- Administrator or Staffing users can update on behalf of others.
When you make a change in the New User Templates area, you also need to update email templates for individual users so they match the latest company templates.
Changes can include:
- Editing an existing template
- Creating a new template
- Deleting a template
- Updating template content
These updates apply automatically to new users. However, existing users keep their current templates. To make sure all users have the latest templates, you must also update the templates assigned to existing users.
Update your own communication templates
- Go to People > Hiring > Applicant Tracking to open the Recruiting platform.

Select the Gear Icon > Message Settings > My Templates.

Scroll down to Restore Default Templates and select the Restore Default Templates button.
Note: Personal templates remain unchanged. They will not be removed or replaced.
Update the communication templates of others
- From the Recruiting platform, go to Admin > Users, then search for and select the user.

Select Message Templates.

Scroll down to Restore Default Templates and select the Restore Default Templates button.
After you restore default templates, the user’s available templates match the company’s New User Templates library. Personal templates remain unchanged.
Troubleshooting

As an Admin or Staffing user, updates have been made to templates in the New User Template area, but when we try to use them with a candidate, we cannot find them.
- The user trying to contact the candidate needs to walk through the steps to restore the default templates. That syncs their available templates so any changes or additions made at the account level are available.
