How Do I Send Bulk Emails to Multiple Candidates at a Time in Recruiting?

Overview

This article includes steps to send emails to multiple candidates at a time in Recruiting. This is sometimes called bulk emailing or a bulk action. You can also include attachments in the emails. 

Scheduling Bulk Email: You can schedule bulk email up to 30 days in advance. 

Cancelling Bulk Email: You can cancel bulk email up to 15 minutes before the scheduled time from the history or newsfeed entry on the job.

Steps to Send Bulk Emails to Multiple Candidates

1. Log in and go to People > Hiring > Applicant Tracking. The Recruiting dashboard appears and shows the Active Jobs in your company.

2. Find the job you want to send an email about and click the title. The job details screen appears on the Candidate Breakdown tab, listing the candidates.

3. At the top right, click the EMAIL CANDIDATES button. The Bulk Email screen appears on Step 1. Select Candidates.

4. Before you select candidates, you can sort by Status, Last Updated date, Added/Assigned date, recruiting Type, and Source

  • In this example, click Status to select only the Hired candidates to email and click Save
  • The list in Select Candidates updates to the hired ones.

5. Select the candidates (or click All at the top of the table) and then click NEXT.  The Step 2 Compose Email screen appears with the number of candidates you selected. 

6. In the Compose Email step, you can compose the email yourself, or you can select an email template: 

  • Compose the email yourself: 
    • Ignore the Template field and enter the Subject
    • Compose the email and then click NEXT. The Step 3. Confirm and Send screen appears. 
    • Proceed to the next step.

  • Select an email template: 
    • In the Template field, click None or the down-arrow. The YOUR PERSONAL TEMPLATES popup screen appears. 
    • Select the email template you want to use. 
    • Finish composing the email and click NEXT. The Step 3. Confirm and Send screen appears. 
    • Proceed to the next step.

7. Review the email on the Confirm and Send screen. If there are no changes, click SEND. A verification screen appears.

8. The verification screen appears. Click OK.

These occur: 

  • For the job, the email is added to the Jobs Newsfeed and Description tab.

  • For the job, go to the Candidate Breakdown. The email is added to each recipient's record. Click their name to see it.
