Manage Thank You letter templates (corporate and personal) in Recruiting

You must have administrator permissions to manage corporate templates. 

 

Corporate and personal template differences 

Corporate and personal Thank You Letter templates help you control branding, consistency, and user-level communication. The following describes the differences between them.

  • Corporate templates: 
    • When to use:  
      • Early-stage rejections 
      • High-volume roles 
      • Situations that require consistent messaging 
    • Sender name: Corporate Email Name 
    • Sender email: Corporate Email Address (shared inbox such as jobs@company.com) 
    • Signature: Corporate Signature Block 
    • Control: Managed by administrators only 
  • Personal templates
    • When to use:  
      • Final-stage rejections 
      • Candidates with direct interaction with a hiring manager 
      • Situations that benefit from a personalized message 
    • Sender name: Individual sender’s name 
    • Sender email: Sender’s email address 
    • Signature: Sender’s personal signature 
    • Control: Managed by each user 

Manage corporate Thank You Letter templates 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Go to Admin > Message Templates > Corporate Templates > Thank You Letters
  3. Review existing templates. 
  1. Update or create templates. 
  • Enter standardized messaging for rejection communications. 
  • Apply consistent formatting across all templates.

  1. Select Save.

Manage personal Thank You Letter templates 

  1. From the Recruiting platform, go to Settings (gear icon) > Message Settings > My Templates > My Workflow Templates

  2. Review existing personal templates. 
  • Confirm language reflects your communication style. 
  • Verify content aligns with company guidelines. 
  1. Update or create templates. 
  • Add personalized messaging for candidate interactions. 
  • Include role-specific or situation-specific content. 
  1. Save changes to make templates available during candidate communication.
