- You must have access to the Recruiting platform.
- You must have permission to view or edit email templates.
- You must have an administrator role to edit corporate templates.
- Go to People > Hiring > Applicant Tracking to open the Recruiting platform.
- Based on the template you’re creating or modifying, find it in:

Corporate templates are used to thank applicants for applying and for their time, but to reject them.
- To create or change, go to Admin > Message Templates > Corporate Templates.

New user templates are for communications with the candidate or hiring team between “thanks for applying” and “thanks, but no thanks.”
- To create or change, go to Admin > Message Templates > New User Templates.

Personal templates are used by individual users.
- To create or change, go to the gear icon > Message Templates > My Templates.

Select the email or text message template. Auto-fill tokens can be used in both template types.

A list of available tokens appears at the bottom of the page. These personalize the subject or message with content specific to the candidate, job, or your company. For example:

Place your cursor in the email subject or body where you want dynamic data to appear.
- Enter the token, surrounded by curly brackets { }.
- Paste or type the tokens exactly as shown in the list.
- Tokens are not case-sensitive. But they will fail if you remove spaces, miss brackets { }, or change the formatting.
- Save the template. If the template you are modifying or creating is a New User Template, refer to Update user email templates with company default templates in Recruiting to make the new template accessible.

Troubleshooting

Tokens do not populate in sent emails:
- Check that the template contains valid token formatting with curly brackets { }.
