Use autofill tokens in email and text templates

Describes how to use autofill tokens in recruiting email templates so messages populate with personalized candidate and job details automatically.

This article is for administrators.

  • You must have access to the Recruiting platform.
  • You must have permission to view or edit email templates.
  • You must have an administrator role to edit corporate templates.
 
  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Based on the template you’re creating or modifying, find it in: 
  • Corporate templates are used to thank applicants for applying and for their time, but to reject them. 
    • To create or change, go to Admin > Message Templates > Corporate Templates.  
  • New user templates are for communications with the candidate or hiring team between “thanks for applying” and “thanks, but no thanks.” 
    • To create or change, go to Admin > Message Templates > New User Templates
  • Personal templates are used by individual users. 
    • To create or change, go to the gear icon > Message Templates > My Templates.  
  1. Select the email or text message template. Auto-fill tokens can be used in both template types.

    A list of available tokens appears at the bottom of the page. These personalize the subject or message with content specific to the candidate, job, or your company. For example:

  2. Place your cursor in the email subject or body where you want dynamic data to appear.

  3. Enter the token, surrounded by curly brackets { }. 
  • Paste or type the tokens exactly as shown in the list.  
  • Tokens are not case-sensitive. But they will fail if you remove spaces, miss brackets { }, or change the formatting. 
  1. Save the template. If the template you are modifying or creating is a New User Template, refer to Update user email templates with company default templates in Recruiting to make the new template accessible.   

Autofill tokens and functions

Autofill Token What it does
{JOB TITLE} Inserts a job title in the message.
{CANDIDATE FULL NAME} Inserts a candidate's First and Last name in the message.
{CANDIDATE FIRST NAME} Inserts the candidate's First name in the message.
{link to Newton:current page} Inserts a link to the page that you are currently viewing.
{link to:Job on Careers Page} Inserts a link to the Job on your careers page.
{Phone Screen Time} Inserts the most recent Time/Date of a Scheduled Phone Screen.
{Interview Time} Inserts the most recent Time/Date of a Scheduled Interview.
{COMPANY NAME} Inserts your Company Name

{TO FIRST NAME}

Note: This works only with Gravity.

Inserts the Gravity User’s first name
Date-Related Token What it does
{X business days after Current Day} ({Month # of Day})
 
  • Generates the name of the day that is X business days past the current day, along with the associated calendar date.
  • This is useful for scheduling email templates.
  • Example: Using: "{2 business days after Current Day} ({Month # of Day})" on Monday January 1st converts to "Wednesday (January 3)."

Troubleshooting 

  • Tokens do not populate in sent emails
    • Check that the template contains valid token formatting with curly brackets { }. 
  • Token text appears instead of data
    • Confirm that the referenced field contains data for the candidate or job. 
  • Cannot edit a template
    • Only administrators can modify corporate templates.
