Access reports
- Go to People > Hiring > Applicant Tracking to open the Recruiting platform.

Select Analytics > Reports.
Understand report categories
The Reports area includes four primary categories.
Staffing Reports
Staffing reports focus on candidate movement through the hiring workflow.
Examples:

Current Candidate Pipeline
- View candidates currently in your hiring process, including job assignment, status, and time spent in their current stage.

Candidate Pipeline History
- Review candidate movement through each hiring stage, including the date each stage was reached.

User Activity Summary
- Track candidate status changes made by users during a selected date range.

Staffing Report
- Analyze candidate volume, stage progression, and average time spent in each hiring stage by job.

Recent Candidate Activity
- View the latest activity completed on candidate records.
Requisition Reports
Requisition reports focus on job postings and job-related information.
Examples:

All Job Details
- Review key details for all jobs that were updated during the selected date range.

Active Jobs Detail
- View key details for currently active jobs, including dates, recruiters, and job information.

Current Posting Report
- See active job postings, posting status, and posting links in one report.

Job Approvals
- Review job approval requests submitted during the selected date range.
Candidate Reports
Candidate reports focus on candidate activity and hiring outcomes.
Examples:

Hired Candidate Detail
- View hiring details for candidates hired during the selected date range.

Hires Pipeline Detail
- Review hiring milestones and stage progression for hired candidates.

Hires/Offers Pipeline Detail
- View hiring and offer activity, including key recruiting stage dates.

Background Check Detail
- Review background check activity and related hiring milestones for candidates.

Background Check Summary
- Summarize background checks requested, started, and completed during the selected date range.

Candidate Source Summary
- Analyze candidate volume by source across hiring stages.

Agency Representation Summary
- Review agency-submitted candidate activity and representation outcomes by hiring stage.

Offer Approvals
- Review offer approval requests submitted during the selected date range.

Candidate Offers (Admin Only)
- View offer approval and compensation-related details for candidates with offer requests.
Smart Sourcing Reports
This Campaign Analysis report is only available if your team uses Paycor Smart Sourcing. The report measures Smart Sourcing campaign performance, including outreach, engagement, and application results.
Export options
Many reports include export options that allow data grouping.
Depending on the report, you may:
- Export all data into a single worksheet (no grouping)
- Create one worksheet per job
- Create one worksheet per department
- Create one worksheet per location
This flexibility makes it easier to organize and review large datasets.
Customize report columns
Most reports contain two field lists:
- Report Columns: These fields will appear in the final report.
- Additional Columns: These fields aren’t currently on your report, but they’re available and can be added.
Custom fields will be listed as Additional Columns, where allowed.
To customize a report:
- Drag fields between the Additional and Report sections.
- Reorder fields to change column placement (drag to reorder in the Report Columns).

Select Run Report to generate the export.
Export reports
To export a report:
- Configure the report settings.
- Select the desired export format or grouping.
- Run the report.
- Open the exported Excel file.
Once exported, the data can be further sorted, filtered, analyzed, and charted using Excel.
Save custom reports
To use your customized report in the future

After you’ve configured a report, select Save Report.
- Enter a report name.

Select Save.

Saved reports can be found in the Saved Reports section, and can be reused without rebuilding the settings each time.
Scheduling reports
Saved reports can be automatically sent to you on a daily or weekly schedule. After saving the report:

Select your name, then select Notification Settings > Saved Reports Emails.
- Review your saved reports.
- Select a delivery frequency:
- Daily (Monday through Friday)
- Weekly (Friday)
- Select a delivery time.
- If you schedule multiple reports, you can combine them into a single email.
Important Notes about Scheduled Reports
- Saved reports do not send automatically by default. They must be scheduled.
- Weekly reports can only be scheduled for Friday.
- Scheduled reports can only be sent to the logged-in user who creates the schedule.
- Reports cannot be emailed to multiple recipients.
Best practices
For the most accurate reporting:
- Status candidates consistently.
- Close or fill jobs when appropriate.
- Use tracking links for external job boards.
- Review reports regularly to identify trends and opportunities for improvement.
Accurate recruiting processes lead to more meaningful reporting results.
