Submit, review, and approve job details for job approval requests

Describes how administrators use Job Approval as the final approvers to add an approval process to new job postings requested by standard users.

This article is for administrators

Only users with the administrator role can be Approval Managers.

Important: Administrators must turn on Job Approval. For more information, see the Administrator's Set Up Guide for Job Approval in Recruiting.

 

Overview 

This article explains how to submit, review, monitor, and approve job approval requests in Paycor Recruiting. The approval process helps make sure job requisitions follow your company’s rules before they are activated and available for recruiting. 

Prerequisites 

  • Job Approval is turned on for your organization 
  • Job Approval settings are configured by an administrator 

Job approval key roles 

  • Requester: Any user in Recruiting can submit a Job Approval request for review. 
  • Approval Manager: Manages the approval workflow. This user receives requests and can deny, approve immediately, or start the approval process if more approvals are needed. Approval Managers must be an admin or a staffing user.  
  • Approver: Reviews and approves or denies job requests. Any user in Recruiting can be designated by the Approval Manager as an Approver.  

Submit a job approval request 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Select Request Job Approval in the navigation bar.

  3. Complete all required fields and any optional fields that apply.

  4. Select Next (top right). 
  5. Enter an optional comment. 
  6. Select an Approval Manager if one is not already listed.

  7. Select Submit. The system notifies the Approval Manager.  

Review a job approval request as an Approval Manager 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Open the request from your email or from the Requests area.

  3. Review the job description and approval record.

  4. Choose an action at the top of the screen: 
  • Deny Approval: Sends the request back to the submitter with notes 
  • Start Approval: Moves the request forward 
  1. In the Start Approval tab: 
  • Select Skip Approval to approve immediately, or 
  • Choose an approval process if additional approvals are needed: 
    • Predefined process (if available) 
    • Custom process 
      • All at Once: All approvers are notified at the same time 
      • Sequential: Approvers are notified one at a time

  1. Select Next
  2. Review the email preview and select Send Email to notify approvers.

  3. Monitor progress from the record. You can send reminders or act on behalf of approvers if needed.

Activate the approved job as an Approval Manager 

After all approvals are complete, activate the job. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Open the approved request from email or the Requests area. 
  3. Select Activate

  4. Review job details and complete any required fields.

  5. Select Next
  6. On the final step, review posting settings: 
  • Choose where to post the job 
  • Use the right panel to create tracking links

  1.  Select Activate! to post the job. 
  2. The JobTarget screen opens: 
  • Choose promotion options, or 
  • To skip promotion, select Home to return to the dashboard.  

Approve or deny a job approval as an Approver 

Use these steps when a request is assigned to you for review. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Open the approval request email and review the details and attachments.

  3. Respond in one of these ways: 
  • Email response: Reply with #APPROVE or #DENY and optional notes (no login needed) 
  • System response: Select the link in the email to go to the Approval Record in Recruiting, then choose Approve or Deny 
  1. Select Save. The system records your decision and continues the workflow.  

Check the status of a job approval 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. Select the Approvals tab on the dashboard.

  3. Review the dashboard to see: 
  • Jobs related to you 
  • Jobs you submitted 
  • Jobs waiting for your approval 
  • Current approval status 

 Troubleshooting 

  • Request not submitted: Make sure all required fields are completed 
  • No Approval Manager listed: Confirm one is assigned before submitting 
  • Approvers not notified: Check that the approval process was started and email was sent 
  • Unable to activate job: Verify all approvals are complete
