Assign a candidate to another job in Recruiting

Describes how to assign a candidate to another job and shows important things to consider first.

You can assign a candidate to another job. Recruiting creates a new candidate record for the new job and keeps the original record. 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform.   
  2. Open the candidate's record.  
  3. Select the Info icon next to the candidate’s name. 
  4. Select Assign to a Job in the window that appears. 
     
  5. Search for the job to which you want to assign the candidate. Use filters to narrow your search if needed. 
  6. Select the >> symbol next to the job to assign the candidate. 
  7. When prompted, select Copy All to copy comments and documents to the new record. 
     
  8. Select Save

After you assign the candidate, the system creates a new candidate record for the selected job and copies the selected information. You can find the candidate in the Job Seeker bucket for the new job. 

Tips 

  • This is a copy-and-paste process, not a cut-and-paste process. 
    • This process creates more than one record for the candidate. 
  • The system flags duplicate candidate records with: 
    • A yellow Info icon next to the candidate’s name. 
    • A message at the bottom of the document viewer indicates there are other records with the same email address. It also show a list of the other candidate records. 
  • If you are no longer considering the candidate for the original job they applied for, set that candidate record to inactive and select Routed to Another Position as the reason. 
  • After you make the first candidate record inactive, you can use the second record for the new job as needed. 

Troubleshooting 

  • Candidate does not appear in the new job: Verify you selected the correct job and completed the confirmation to assign the candidate to a new job. 
  • Cannot copy comments over when assigning a candidate to a different job: Verify you are an admin or staffing user or are assigned a role on the job.
