Use bulk actions to assign a user to multiple jobs in Recruiting

Describes how administrators can assign users to jobs in bulk.

This article is for administrators.

 

Overview 

  • Bulk actions let you manage user job assignments in Recruiting faster and with fewer steps. 
  • You can assign a user to many jobs, replace a user on multiple jobs, or change a user’s role across jobs at the same time. 
    • This helps keep job access accurate and up to date. 

Benefits of using bulk actions 

Using bulk actions helps you: 

  • Assign a user to many jobs at once 
  • Replace one user with another across multiple jobs 
  • Update a user’s role on several jobs at the same time 

These actions reduce manual work and help ensure the right users have the right access. 

Use bulk actions to assign users to jobs 

  1. Go to People > Hiring > Applicant Tracking to open the Recruiting platform. 
  2. The Applicant Tracking link will take you to the Home Dashboard in your Applicant Tracking System.

  3. Select Admin, then select Users
  4. Find and select the user you want to update. 
  5. Select the Jobs tab to view the jobs assigned to the user. 
  6. Select Bulk Actions and then select one of the following options: 
  • Assign to Jobs 
  • Replace with Another User on Jobs 
  • Modify Roles on Jobs 
     

Assign to jobs bulk action 

Use Assign to Jobs to add a user to additional jobs in Recruiting. 

  1. Select Assign to Jobs, then select Next
  2. On the Select Jobs screen, select the checkbox next to each job you want to assign to the user, then select Next. 
  • Only Active jobs display by default. 
  • You can change the job status and use search filters to find non-active jobs. 
  • If the user is already assigned to a job, the current role is displayed in the Current Role column. 
  • You cannot select jobs where the user is already assigned. 
  1. On the Select Role screen, choose one role, then select Next
  • The user is assigned the same role on all selected jobs. 
  • The Recruiter role is available only if the user is set up as an Admin or Staffing User. 
  1. On the Confirm screen, enter a comment if needed, then select Save. Comments post to the Job Newsfeed for each selected job. 

Replace with another user on jobs bulk action 

Use Replace with Another User on Jobs to remove a user from jobs and assign another user in their place. 

  1. Select Replace with Another User on Jobs, then select Next
  2. On the Replace With screen, select one replacement user, then select Next
  • You can replace the user with only one other user. 
  • Use search tools to find the replacement user. 
  1. On the Select Jobs screen, select the checkbox next to each job, then select Next
  • Only Active jobs display by default. 
  • You can change the job status and use search filters to find jobs. 
     
  1. On the Confirm screen, enter a comment if needed, then select Save. Comments post to the Job Newsfeed for each selected job. 

Modify roles on jobs bulk action 

Use Modify Roles on Jobs to change a user’s role on jobs where they are already assigned. 

  1. Select Modify Roles on Jobs, then select Next
  2. On the Select Jobs screen, select the checkbox next to each job you want to change the user’s role on, then select Next
  • Only Active jobs display by default. 
  • You can change the job status and use search filters to find jobs. 
  1. On the Select Role screen, choose one role, then select Next
  • The user is assigned to the selected role on all chosen jobs. 
  • The Recruiter role is available only if the user is set up as an Admin or Staffing User. 
  1. On the Confirm screen, enter a comment if needed, then select Save. Comments post to the Job Newsfeed for each selected job.
