Reset a user password and unlock accounts in Recruiting

Describes how administrators reset and unlock a locked password in Recruiting.

This article is for administrators.

 

Select the way users log into Recruiting, and the issue they might be having:

Users Log in with Single Sign-On (SSO)

User Cannot Access the Hiring Menu in Paycor

If a user does not have the Hiring option under People, they do not have the correct access.

To access the Hiring menu, the user must be assigned a role with Onboarding access (such as Company Administrator or HR Administrator), or they can be assigned one of these custom Onboarding access roles:

  • Hire Employee:
    • Ability to invite and/or manually hire new employees
    • Access to the Pending New Hires list can be limited by Paygroup, Payroll, and Work Locations
    • User can delete pending new hires
  • Limited Employee Hiring:
    • Ability to invite and/or manually hire new employees
    • A user with only the Limited Employee Hiring role will only see the new hires who they invited
 
 

User Cannot Access the Applicant Tracking option under the Hiring Menu in Paycor

If a user does not see the Applicant Tracking option in the People > Hiring menu, this could mean Recruiting SSO has not been enabled. 

A Company or HR administrator can enable it by:

  1. Going to Company > User Access > Access & Registration
  2. Search for the user’s name and select it to open the Summary screen. 
  3. In the Recruiting Single Sign On section, select Enable.
  4. Verify the email address in this section matches the email address used to create the user in Applicant Tracking.
  5. Select the green check mark and then Ok.

Note: It can take up to 15 minutes for the systems to sync after enabling Recruiting Single Sign On. Detailed set up instructions can be found here: How Do I Enable Single Sign On (SSO) and the Recruiting Widget?

 
 
 
 

Users Log in Directly to RecruitingbyPaycor.com

User Forgot their Password

On the Paycor login page, direct the user to:

  1. Select Forgot Password?. This sends an email with a new password to their email address.
  2. If that doesn't work, you, as the administrator, can reset their password.
 
 

User is Locked Out of their Account

  • If a user enters an incorrect password too many times, they will be locked out of their Paycor account.
  • Per our Terms of Service with your company and our Security Policy, Paycor Support cannot reset passwords or unlock accounts for standard users:
    • Sometimes Support gets emails from Hiring Managers such as, Help, I forgot my password, or I'm locked out of my account.
    • Paycor Support sends these messages to the administrator at the user's company or directs the user to use the Don't know your password? link
  • Users must contact you, the administrator, to unlock their account.

Access a User and Unlock Their Account

  1. Go to People > Hiring > Applicant Tracking. The Recruiting dashboard opens.
  2. Select Admin > Users. A list of employees displays.Shows the dashboard and the Admin link
  3. Open the Any Status field and select Locked. A list of locked employees displays.
  4. Select the employee's name. The user's details screen displays.
    1. In the User Status and Login section, the Login field is marked Locked, and a red notification shows above that section.
  5. Select Send a Password Reset
  6. On the popup asking if you want to unlock the account, select Yes. Shows the Send a Password reset link
  7. Select Save.

This occurs:

  • The red notification disappears under the Send a Password Reset link.
  • In the User Status and Login section, the Login field switches to Unlocked.
  • The user gets an email to reset their password.
