Paycor Learning Management: Reporting Guide


The Reports tab in Paycor Learning Management gives you access to real-time results so you can keep track of individual and team learning.

As an administrator, you can view and run these reporting options, which are described in this article:

  • Reports Dashboard
  • Quick Reports and Usage Reports
  • Reports Engine


The Reports Dashboard provides a quick overview of how Paycor Learning Management is being utilized by your organization. It shows:

  • Number of courses completed
  • Number of people created by the person who logged in
  • Number of people who have never logged in
  • Number of assigned courses completed
  • Most active courses
  • Most active people

For more details, hover over the Most active course and the Most active people graphs.

If you’ve saved any favorite reports, they are listed at the bottom of the Reports Dashboard in the Manage Reports (My Save / Favorite Reports) section.


  • Quick and Usage Reports are pre-built reports that show the basic information and can cover a lot of data that you might look for often.
  • Administrators: Can run these reports for all learners in the organization’s account of Paycor Learning Management.
  • Team Leaders and Team Administrators: Can run these reports only for members of their teams.

Follow these steps to run a Quick or Usage Report: 

  1. In Paycor Learning Management, on the to top menu bar, click the Reports tab. The Reports Dashboard appears.
  2. In the Quick reports section, click the name of the report you want to run.
    • The Usage Reports section is under the Quick Reports section.
    • In the example here, click Courses. The quick view of data for that Course Report displays basic data for each course.
    • You can also see a list of all the courses, how many people have been assigned to the course, and how many have completed each course.

  3. There are two filter buttons you can use in this section:
    • Filter button  :
      • Located next to the Search field
      • Allows you to filter Active vs. Inactive courses, select a date range, and filter by when the course was created.
    • Column Filter button :
      • Allows you to filter specific columns you see in the on-screen report.
      • If you click this filter button, the list of possible columns for this report shows. Here, you select which columns you want to see on your screen. 
      • If you made changes, click the Run Report button.
      • Then the on-screen report shows your new columns.
  4. To download or schedule a report, click Download/Schedule this report. The Download/schedule popup window appears.   
  5. Complete these fields:
    • Title: This becomes the name of the download file.
    • Options: You have two choices to complete this field: 
      • Select Download if you want to download the report. Notes: 
        • If you selected Download for the Options field, wait until the report is ready (a status message appears next to the report name indicating it's processing. 
        • When it’s ready, the report name becomes a blue link. 
        • Click the blue link and it downloads the file to your Downloads folder.
    • Select Schedule to schedule how often and to whom the report is emailed. Complete the additional fields:
      • Email To
      • Frequency
  6. Select the Format for the report (PDF or CSV).
    • If you select PDFonly the columns that were selected with the Column Filter are included in the report.
    • If you select CSV, you can open the file in Microsoft Excel and all possible columns for this report are available.
  7. Click Run.
    Here are examples depending on the Option you selected: 
    • Downloaded CSV file course report:
    • Downloaded PDF file course report:
    • Scheduled report (it appears as an attachment in an email):


  1. In PaycorLearning Management, on the to top menu bar, click the Reports tab. The Reports Dashboard appears.
  2. Click Reporting Engine. The Build a Custom Report screen appears. 
  3. In the What would you like to report on? section, make a selection. In this example, this selection was made: User > Details > Results > Course.
  4. When you click a choice with the report icon ( ), the next screen appears automatically as shown here: 
    Notes about your selections:
    • Based on which choices you selected, the screen populates and asks another question. 
    • Here it allows you to choose which field columns do you want in your report.
    • By default, the reports engine automatically selects the field columns you might want.
    • You can leave the columns listed, or you can remove some or all of these columns. 
    • Then select only the columns you actually want in your report by clicking the gray buttons on the left that categorize the fields. You can select any or all of the fields.
    • The order the fields are listed is also the order they appear on your report.
    • You can click and drag these to a different order.
  5. When you have all the columns listed you want to see in your report, click Next.
  6. On the What do you want to include page? screen, you can choose any filters you want to use. Here are examples:
    • If you want to see only this report for one or a few courses, select the courses you want to see.
    • Choose from coursesteamscourse assigned, and completion dates.
    • Click Add Filter to set parameters such as, People > Active > Yes, etc.
  7. When you complete selecting the filters you want to use, click Next. After a few seconds, a preview of your report appears as shown here:
  8. If you need to change any of the parameters or filters for the report, click Previous to go back and make the changes. When you complete those changes, click Next until you return to this screen, and then click Next. The download and scheduling options section appears.        
  9. Click one of these tabs:
    • Schedule:
      • This screen appears.
      • Complete the fields and click Build & Save.

    • Download Now:
      • This screen appears.
      • Leave the format set to CSV and click Download. A status message appears. 
  10. When the download process is completed, click Download. The report downloads to the Downloads folder on your computer.
  11. Click the Reports Dashboard to return to the dashboard.
